Start with a routine the team can repeat
A room walk should make the property's condition easier to understand. Start by deciding who checks rooms, which rooms are available to inspect, and what happens to an issue after it is recorded. A short routine that people complete is more useful than an elaborate checklist that gets skipped.
Agree on a consistent way to name rooms and describe findings. Record what someone can observe: a curtain track is sticking, a lamp does not illuminate, or an air-conditioning front needs cleaning. A specific observation gives the next person a better starting point than a broad label such as room problem.
Separate the finding from the work
The person noticing an issue may not be the person qualified to fix it. Keep the room-check record clear, then create or identify the work order that owns the follow-up. The location, description, priority, and responsible person should be easy to find together.
Do not use an inspection form as a substitute for the hotel's safety procedures. Staff should follow manufacturer instructions and the property's escalation process, and leave repairs or technical checks to qualified people. An urgent concern needs the appropriate immediate response, not simply a place on a future work list.
Close the loop at handoff
At the end of the shift, review the findings that still need action. Is each item assigned? Does anyone need more information? Has a previously reported issue appeared again? These questions make the room walk part of the operating routine rather than a separate administrative task.
When work is completed, keep the useful history with the room or equipment record. If the same issue returns, that history can help the team distinguish a new problem from an unresolved one. A recurring problem deserves a conversation about its cause, not just another identical work order.
What to try in LodgeMind
Open Gold and look at Room Walks and Work Orders together. Follow the relationship between finding an issue, recording its room, assigning the work, and reviewing the resulting status. Use the demonstration to decide which parts of that routine your own team needs to standardize first.
